Booking Draft

  1. LFS vehicle rentals are available for Faculty of LFS and Forestry users only.
  2. Review the LFS Faculty Vehicle Policy before submitting a vehicle booking request
  3. Book your vehicle 24 hours in advance (working days only) to allow for confirmation. Do not take a vehicle without confirmation, as there may be a request that has not shown up on the booking page.
  4. Key pick-up and drop-off hours are 8:30am – 4:30pm. Keys should be picked up from Daphne Wang in MCML 254, returned there or in the drop box located outside the door.
  5. A Class 5 license or above or above is required, Class 7 (N) license holders are NOT allowed to drive a faculty vehicle.
  6. Booking inquiries can be sent to lfs.finance@ubc.ca. For amendments to bookings, call 604-822-2193.
  7. Dodge Caravan should not be driven at temperatures below 7oC (all season tires). Both the Ford Ranger and Toyota Prius can be driven both above and below 7oC (all-weather tires)

Faculty Vehicle Guidelines in response to Step 3 of Resumption Plan to reflect Common Spaces/Public Realm Plans:

  1. All users are required to wipe down high touch spots after use (handles, steering wheel, turn signal etc.) using provided sanitization wipes before and after accessing vehicles.
  2. No physical distancing required.
  3. Use of non-medical masks highly recommonded in vehicles with more than one occupant.
  4. Wash hands with soap and warm water frequently and practice respiratory ettiquette (sneeze/cough into mask, arm)

Parking Dept Vehicles

UBC parking has marked our parking spots for departmental vehicles as follows: Stalls R274, R275 and R276 (the Dodge Caravan, Ford Ranger and Prius can be parked in any of these stalls). Stall R273 is reserved for the Dean's use only. As usual, all other stalls in the area have been assigned for other purposes, and our vehicles will be towed if parked in any other spaces.

What if an unauthorized user is parked in the LFS departmental spots?

  1. Record the license plate (preferably take a photo), make and model of the unauthorized vehicle as well as the specific parking spot (i.e. R273, R274, R275 or R276).  Email this information to lewis.fausak@ubc.ca and cc andy.jeffries@ubc.ca along with the vehicle that you are driving (i.e. Prius, Caravan, or Ranger).
  2. If there are no departmental spots remaining (i.e. R273, R274, R275 and R276 are all occupied), park the departmental vehicle in surface lot B4.  This is the lot across from Forestry with access off Agronomy Road.
  3. Place a note on the dash indicating the vehicle will be moved to the correct parking spot once the unauthorized user has been removed.  You will find a generic note in the glove compartment that you can place directly on the dash.
  4. When you hand in your keys, notify the receiver of where the vehicle is parked, as there may be another user booked immediately after you.
  5. Notify Lewis Fausak and Andy Jeffries (email to lewis.fausak@ubc.ca and cc andy.jeffries@ubc.ca) of the location and make of the vehicle (i.e. Prius, Caravan, or Ranger). Lewis or Andy will notify UBC Parking of the unauthorized user and will move the departmental vehicle once the unauthorized vehicle has been removed.

To avoid any inconvenience, please fill up the gas tank prior to going out into the fields for research and return the vehicle with at least a half tank of fuel.

Option 1: Fueling Up on Campus 

  1. The campus fuel pump is located in front of the University Services Building.
  2. Record the vehicle mileage, turn off the vehicle, open the fuel cover, and unscrew the cap.
  3. Make sure the pump switch is turned off (flipped down) and use the scanner to scan the RFID chip inside the gas cap (should hear a beep)
  4. Enter the mileage onto the pinpad and press enter (this may take several attempts) and enter the driver code 9999 and press enter. Should read “authorized”.
  5. Flip the pump to on (flipped up), insert the gas nozzle into the vehicle, and begin fueling up.
  6. When you hear a click, return the nozzle to the pump, and switch it off.

Option 2: Fuelling Up Off Campus (out of pocket)

  1. Pull up alongside the fueling station with fuel cap on the same side as the pump.
  2. Turn off the vehicle, open the fuel cover, and unscrew the cap.
  3. Use your payment method to select gas for the vehicle.
  4. Insert the nozzle and fuel up until you hear a click.
  5. Return the nozzle and print out your receipt.
  6. If the fuel amount is less that $50, ask Daphne Wang for cash reimbursement and submit your receipt to her. If it is greater than $50, save your receipt and submit your expense claim on workday.

This Faculty Vehicle is parked in the spaces between MacMillan Building and the Frank Forward Building (the spaces adjacent to the loading dock in the rear of Macmillan building), there should be signage indicating which spaces have been allotted to LFS.

It is very important to return the vehicle to these spaces and DO NOT return it anywhere else.

2006 Chevy Colorado Pickup - License CN4142

Vehicle is located at the Totem Field and available for bookings from Wednesday - Friday only.

Vehicle must be picked up AND returned to the Totem Field, behind the gates (gate key will be provided).

A vehicle mileage form will be provided and must be returned to LFS Finance (MCML 254).

Chevy Cargo Van - Plate number: 6264 PF (Seats 2)

1989 3/4 ton cargo van with removable seats.

The cargo van is located at the UBC Farm.

From May through October, the vehicle is available for booking Thursdays from 9am-5pm and some Mondays. From November to April the van is available for booking more widely.

Please contact the UBC Farm Office at farm.team@ubc.ca or 604-822-5092 to book the vehicle.

NO HERBICIDES, PESTICIDES, OR OTHER CONTAMINANTS

Due to a limitation in the booking software, you will need to fill out the speed chart field in the form. However, you will not be charged for using the bikes or the trailer.Note: Bell, helmet, and light use (after dark) are MANDATORY for all bikes – failure to use will result in use suspension.

 

Before you go:

  • Check tires for tread wear, debris, and pressure. Add air if needed.
  • Check that the quick release on front wheel is tight and wheel is secure.
  • Squeeze brakes to ensure they are working and strike the rims (not tires), check brake pad condition for wear.
  • Check if the front and back lights are working (if applicable).
  • Check if the bell is working.
  • Inspect your helmet for cracks or signs of wear.

Please ensure that you lock the bicycles and trailer securely to the bike rack. Especially the ones that you are not using as they are locked using the same security cable.

The black bike

Pick up the keys to the bike from MCML 264. The bike is located in the MCML loading bay area.

The black bike has the trailer hitch and the trailer can only be attached to this bike.

A bike helmet must be worn when riding the black bike.  A bicycle helmet is available for loan out from MCML 264.

Pick up the bike trailer from MCML 264.The trailer can be used on its own or with the black bike.
