- LFS vehicle rentals are available for Faculty of LFS and Forestry users only.
- Submission of the LFS Workplace Safety Vehicle Guide and review of the LFS Faculty Vehicle Policy are required before submitting a vehicle booking request.
- Book 24 hours in advance (working days only) to allow for confirmation of vehicle availability. Do not take a vehicle without confirmation, as there may be a request that has not shown up on the booking page.
- Key pick-up and drop-off hours are 8:30 am – 4:30 pm. Keys should be picked up in MCML 254, and returned there, or in the drop box located outside the door.
- A Class 5 license or above is required, and Class 7 (N) license holders are NOT allowed to drive faculty vehicles.
- Booking inquiries can be sent to lfs.vehicle@ubc.ca. For amendments to bookings, call 604-822-2193.
- Mileage charges apply to bookings and are charged at the current CRA rate of $0.70/KM. LFS vehicles operate on a cost recovery system and are provided as a service.
- Travel outside of Canada in LFS vehicles is strongly discouraged due to UBC insurance restrictions. If you require US travel please reach out to lfs.facilities@ubc.ca
- Cleanliness is the responsibility of the users vehicles returned in an acceptable state after each use.
- Vehicles must be returned with at least a 1/2 tank of gas.
- All users are required to clean the interior and exterior of vehicles according to their use of the vehicle.
- Cleaning supplies, water hose, and vacuum can be found in the vehicle cleaning cabinet located in MCML 48 (Loading bay).
- Report any issues with cleanliness or use using the QR code mileage form in Qualtrics
Parking Vehicles
UBC parking has marked our parking spots for departmental vehicles as follows: Stalls R274, R275 and R276 (the Dodge Caravan, Ford Ranger and Prius can be parked in any of these stalls). Stall R273 is reserved for the Dean's use only. As usual, all other stalls in the area have been assigned for other purposes, and our vehicles will be towed if parked in any other spaces.
What if an unauthorized user is parked in the LFS departmental spots?
- Record the license plate (preferably take a photo), make and model of the unauthorized vehicle as well as the specific parking spot (i.e. R273, R274, R275 or R276). Call UBC parking: 1-604-822-6786 with the preceding information, and ask them to tow the vehicles from spot.
- Place the sign located in the glove compartment "This is an LFS vehicle..." onto the dash, indicating the vehicle will be moved to the correct parking spot once the unauthorized user has been removed.
- When you hand in your keys, notify the receiver of where the vehicle is parked, as there may be another user booked immediately after you.
- Notify lfs.vehicle@ubc.ca of the temporary location and make of the vehicle (i.e. Prius, Caravan, or Ranger).

To avoid any inconvenience, please fill up the gas tank prior to going out into the fields for research and return the vehicle with at least a half tank of fuel.
Option 1: Fueling Up on Campus
- The campus fuel pump is located in front of the University Services Building.
- Record the vehicle mileage, turn off the vehicle, open the fuel cover, and unscrew the cap.
- Make sure the pump switch is turned off (flipped down) and use the scanner to scan the RFID chip inside the gas cap (should hear a beep)
- Enter the mileage onto the pinpad and press enter (this may take several attempts) and enter the driver code 9999 and press enter. Should read “authorized”.
- Flip the pump to "on" (flipped up), insert the gas nozzle into the vehicle, and begin fueling up.
- When you hear a click, return the nozzle to the pump, and switch it off.

Option 2: Fueling Up Off Campus (out of pocket)
- Pull up alongside the fueling station with the fuel cap on the same side as the pump.
- Turn off the vehicle, open the fuel cover, and unscrew the cap.
- Use your payment method to select gas for the vehicle.
- Insert the nozzle and fuel up until you hear a click.
- Return the nozzle and print out your receipt.
- If the fuel amount is less than $50, ask Ludmila Benova (ludmila.benova@ubc.ca) for cash reimbursement and submit your receipt to her. If it exceeds $50, save your receipt and submit your expense claim on workday.

Chevy Cargo Van - Plate number: 6264 PF (Seats 2)1989 3/4 ton cargo van with removable seats. The cargo van is located at the UBC Farm. From May through October, the vehicle is available for booking Thursdays from 9am-5pm and some Mondays. From November to April the van is available for booking more widely.
